We are committed to delivering high-quality video editing services. This policy outlines our refund terms and conditions.

Overview

At AVE Media, we are committed to delivering high-quality video editing services that meet your creative vision. We understand that circumstances may change, and we have established this Refund Policy to ensure transparency and fairness for all our clients.

This policy applies to all video editing services, including but not limited to: commercial editing, color grading, motion graphics, sound design, post-production, and consulting services.

Important: By engaging AVE Media's services and submitting payment, you acknowledge that you have read, understood, and agree to be bound by this Refund Policy.

Project Phases & Refund Eligibility

Refunds are calculated based on project completion status at the time of cancellation:

Non-Refundable Items

The following fees and costs are non-refundable under all circumstances:

  • Rush fees (24-48 hour turnaround surcharges)
  • Stock footage, music licenses, or third-party assets purchased specifically for your project
  • Voice-over talent fees once recording sessions are booked or completed
  • Travel expenses incurred for on-location shoots or client meetings
  • Deposit payments (unless project is cancelled by AVE Media)
  • Subscription-based retainer fees for unused months

Cancellation Process

Client-Initiated Cancellation

To request a cancellation and refund, clients must:

  • Submit written notice via email to info@avemedia.net with subject line: "Cancellation Request – [Project Name]"
  • Include reason for cancellation and preferred refund method
  • Allow 5-7 business days for refund processing
  • Refunds will be issued to the original payment method within 10-14 business days of approval

AVE Media-Initiated Cancellation

In rare circumstances where AVE Media must cancel a project due to unforeseen circumstances (equipment failure, force majeure, or resource unavailability):

  • Client receives 100% refund of all payments made
  • Client retains ownership of all work completed to date
  • AVE Media will provide referrals to qualified alternative providers when possible

Revision Policy & Satisfaction Guarantee

Standard Revision Allowance

  • 2 rounds of revisions included with every project
  • Additional revisions billed at $75/hour or quoted per project
  • Revision requests must be consolidated and submitted within 7 days of delivery

Major Scope Changes

Requests that significantly alter the original project scope (runtime changes, new footage, complete style changes) will be treated as new projects or billed as change orders at our standard hourly rate.

Satisfaction Resolution

If you are unsatisfied with the final deliverable:

  • We will schedule a complimentary consultation to address concerns
  • One additional revision round will be provided at no charge
  • If resolution cannot be reached, refund eligibility will be determined based on Section 2

Exceptional Circumstances

Force Majeure

Neither party shall be liable for delays or failures due to events beyond reasonable control, including natural disasters, pandemics, government restrictions, or internet service disruptions. Refunds will be prorated based on work completed.

Client Delays

Projects stalled for more than 30 days due to client non-responsiveness (failure to provide feedback, assets, or approvals) will be considered abandoned with no refund eligibility. Projects may be reactivated with a 25% restart fee.

Payment Disputes

  • Chargebacks: Initiating a chargeback without first attempting resolution through our support team will result in immediate project suspension and potential legal action for breach of contract.
  • Payment Plans: Default on payment plans will result in project suspension and loss of refund eligibility for payments already rendered.

Retainer & Subscription Services

For monthly retainer or subscription clients:

  • 30-day notice required for cancellation
  • No refunds for partial months
  • Unused hours do not roll over to subsequent months unless specified in contract
  • Annual plans cancelled early are subject to reconciliation at standard monthly rates

Dispute Resolution

In the event of a dispute regarding refunds:

  • Informal Resolution: Both parties agree to attempt good-faith negotiation for 14 days
  • Mediation: If unresolved, mediation will be conducted under the rules of the American Arbitration Association
  • Legal Action: Should mediation fail, disputes will be resolved in the appropriate courts

Policy Modifications

AVE Media reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Projects contracted under previous policy versions will be governed by the terms in effect at the time of contract signing.
